How can I set up CIT shared folder?

This describes how to configure the  CIT shared folder in the email program.

0. The most important information in brief

Participants in the shared folder must add a new account in the mail client (e.g. Thunderbird, Outlook). The login data is displayed in the StructureDB each time users are added, but in general is always as in the following description:

Access via Webmail:

• Website: https://webmail.in.tum.de/
• Username: Projektname.Label+ ITO Login (like kinderbetreuung.vej+musterma)
• Password:   CIT Password

1. Linux - Thunderbird

Click the Email option in the Set Up another Account tab.

Fill out the shared mailbox email address and your CIT password  and log in as shown. 

Select the IMAP option and  then click Set up manually.

For the username, enter Projectname.Label+ITO Login ( like kinderbetreuung.ito+musterma ) and write your CIT password as the password.

Additionally change the Hostname to mail.cit.tum.de .

Fill in the other fields as shown in the screenshot below and then click Done . The details can be found in the table above.

2. Apple - Thunderbird

Click on Outlook in the tab above and  open Preferences .

Then click on Accounts.

Here , first click on the plus sign and then on New Account .

In the opened window , enter the email address for the shared folder and click Continue . In our example it is kinderbetreuung@ito.cit.tum.de.

 In this window select the  IMAP  service.

Then click Continue .​

For IMAP Username, enter Projectname.Label+ITO Login ( like kinderbetreuung.ito+musterma ) and enter your CIT password in both password areas . Fill out the other fields as shown in the screenshot below and click Add Account . The details can be found in the table above.

Then you are done.

3. Apple - Mail Programm

 First click on Mail and then on Accounts .

Here select  Add Other Account .

In the opened window click on Mail Account .

Enter the shared email address and your CIT password for the account. Then click Sign In .

For the incoming and outgoing mail server, enter mail.cit.tum.de and click Sign In  again to complete the setup process.

4. Windows - Outlook 2019

Open the Program and click on File.

Click on Add account.

Enter the email address of the project and set the check mark for Let me set up my account manually and click on Connect.

Choose the account type IMAP and click Connect.

Enter the options as shown on the screenshot. Then click next.

DON`T enter your ITO password. Just click "Connect".
 

Enter the username Projektname.Label+ ITO Login (like kinderbetreuung.vej+musterma). if the username is longer than 8 characters it will be shortened).

5. Windows - Outlook 2016

Click "File".

Click "Add Account".

Choose "Manual setup or additional server types" and click "next".

Choose "POP or IMAP".

Fill out your own credential and the incoming/outgoing mail server as below.

Choose "My outgoing server(SMTP) requires authentication" by "Outgoing Server".

Fill out the Server Port Numbers as below under Advanced.

6.Ipad

 Open Settings on your iPad and click on Mail, Accounts  then Add Account .

Click on Others.

Click on add mail account.

Enter the shared email address and your CIT password and click Next .

As the user name , write Projectname.LABEL+YourCITID (such as kinderbetreuung.ito.+musterma) and enter mail.cit.tum.de for the incoming and outgoing mail servers and click Next .

Click Save to complete setting up the shared mail account.
